The Problem with Booking by Phone
If you run a salon, a clinic, a law practice or a tutoring business, you already know what an appointment costs you before it even happens. The receptionist picks up, asks for a name, asks for the service, asks for a preferred time, walks across to the calendar, finds out Aisha is off Saturday, suggests Sunday, gets a no, suggests Monday, gets a yes, writes it down in two places, and hangs up. That is the good version.
The bad version is the call you missed because the line was busy or because it was 9pm on a Friday. Industry data has been consistent for years: between 30% and 60% of routine bookings come in outside business hours, and the businesses that capture them are the businesses that grow. The rest lose those customers to a competitor who answered first.
Forms on a website fix half of this — but they bounce. Anyone who has put a "Schedule a 30-minute call" link in front of a warm lead has watched the click-through rate drop the moment it loads. Your customer is already in WhatsApp. They want to book in WhatsApp.
Booking Where Your Customers Already Are
Today we are shipping native appointment booking inside Botline. It runs on the WhatsApp account you already use, on top of the AI agent you already trained. There is nothing new to install.
From the customer side, it looks like a normal conversation. They tap "Book appointment" in your WhatsApp menu, the AI walks them through service, staff and time, and the booking is confirmed in chat. Total time, in our pilot stores: about thirty seconds. From your side, every appointment lands in the dashboard, on the staff member's Google Calendar, and in the customer's chat history — three sources of truth that cannot drift apart.
It is built for the verticals that live and die on bookings: salons and spas, clinics and dental practices, lawyers and consultants, tutors and coaches, and the long tail of service businesses that schedule slots. If you book customers, this is for you.
How It Works
- Customer texts. Your existing WhatsApp menu now has a "Book appointment" entry. The customer taps it (or just types "book") and the AI agent picks up the thread. No app install, no portal login, no detour to a website.
- AI walks them through it. Service first ("Haircut, balayage, or colour?"), then staff ("Aisha is open this weekend, Hadeed has Monday free"), then time. The AI knows each staff member's working hours, blocked days, and existing bookings — it never offers a slot that is not actually available, and it never double-books.
- Done in 30 seconds. Confirmation lands in chat. The booking appears on the staff member's Google Calendar within seconds. A reminder is scheduled for 24 hours before, and a second one for 2 hours before. If you take deposits, a Stripe payment link goes out in the same conversation. If the customer needs to move things, they text RESCHEDULE; if they cannot make it, they text CANCEL — both run without involving you.
Behind the scenes, this is the same RAG-grounded AI that already runs your sales conversations. Booking is just one more capability bolted onto an agent your customers already trust.
Calendar & Payments Built-In
2-way Google Calendar sync is enabled per staff member. Connect once, and every booking made over WhatsApp shows up on that staff member's calendar within a few seconds — and any appointment they add manually on the calendar blocks the slot from being offered on WhatsApp. No imports, no nightly syncs, no drift.
Already running on Calendly? Keep it. Botline has a Calendly parallel mode that lets staff keep their existing booking flow for customers who arrive through the website, while WhatsApp customers get the new in-chat experience. Both write to the same calendar, so capacity stays consistent.
Deposits are optional and run on Stripe. Set a flat amount per service or a percentage; deposits are held with refundable holds, automatically released on clean cancels and forfeited on no-shows. The customer pays without leaving the WhatsApp thread — Stripe Checkout opens in their browser, and the link is signed against the booking so they cannot pay for the wrong slot.
Automated Reminders, Less No-Shows
Every confirmed booking gets two reminders out of the box: one 24 hours before, one 2 hours before. The 24-hour reminder asks the customer to confirm or reschedule; the 2-hour reminder is just a heads-up. Both fire from your WhatsApp number — no template approval required, because they are session messages inside an active customer conversation.
If the customer does not show, the booking is marked as a no-show automatically and (if you are taking deposits) the deposit is forfeited. No-show rates in our pilots dropped by 30 to 50% versus the same staff working without reminders.
Pricing
Appointment booking is included on the Pro plan at $99/month (or $79/month annual). That includes multi-staff scheduling, Google Calendar sync, Calendly parallel mode, Stripe deposits, automated reminders, and the dashboard pages for staff, services, hours and bookings. No extra add-on, no per-booking fee.
If you are on Starter today, upgrading takes about a minute and changes apply immediately. Enterprise customers get the same feature with unlimited staff and BYOK on the underlying AI.
How to Enable
- Switch your business type. In Settings → Profile, set Business Type to "Appointments" (or to a more specific vertical: Salon, Clinic, Legal, Consulting, Tutoring). This unlocks the appointments tabs in your dashboard sidebar.
- Configure services, staff, and hours. Add the services you book (with duration and optional deposit), add each staff member with their working hours and time-off, and connect each staff member's Google Calendar from their profile.
- Add "Book appointment" to your WhatsApp menu. Open Menu → Top-level items, add a "Book appointment" entry pointing to the appointment flow, and save. Your AI agent will offer it the next time a customer reaches out.
That is the full setup. Most pilot stores were live within 20 minutes, including connecting calendars and entering services.
