How to Onboard Your Used-Car Dealership on Botline (Step-by-Step)
From signup to live AI inquiries in 30 minutes — the complete checklist for second-hand car dealers, agents, and used-car shops.
Before you start
Have these ready (none take more than a minute):
- A WhatsApp business number. Personal or dedicated — both work. Just make sure it's not currently registered on the WhatsApp Business app on a phone (deregister first if so).
- Your current stock. Either as a CSV (export from PakWheels Pro) or just an Excel sheet with make/model/year/price/photos.
- Showroom address. For customers asking "kahan visit kar sakte hain?".
- Loan officer contacts (optional but recommended). Names + numbers of bank reps you refer customers to — Meezan Auto Finance, HBL CarLoan, Bank Alfalah, etc.
- Showroom photos. Exterior + 1-2 interior shots build trust on first message.
Step 1 — Sign up + pick business type
- Open botline.cc/signup and create your account with your business email. OTP-only, no password to remember.
- You'll land on /dashboard/onboarding — the setup wizard.
- Search "used car" and pick Used Car Dealer / Agent. Confirm Pakistan + PKR.
- Click Confirm. The orchestrator seeds your account: AI prompt tuned for used-car sales, greeting menu (Browse stock / Trade-in / Sell my car / Inspection / Financing / Talk to human), 25+ FAQs in Roman Urdu + English, broadcast templates, agent profiles. Takes about 3 seconds.
You'll be redirected to Step 2 of the wizard to fill in your specific details.
Step 2 — Fill business details
The wizard will ask for:
- Business name + city + WhatsApp number. The basics.
- Showroom address + Maps link. The AI shares this when buyers ask.
- PakWheels / OLX profile URLs (optional). Customers can verify your reputation.
- Financing partner contacts (optional). Loan officer names + phone numbers — the AI shares these when financing is mentioned.
- Showroom photos (optional). Used as the banner on your public dealer page.
Each field auto-saves as you tab out. A green progress bar at the top shows how close you are to Go Live.
Step 3 — Connect WhatsApp
- Open /dashboard/whatsapp in another tab.
- Click + Add WhatsApp Number → choose Baileys (recommended).
- A QR code appears.
- On the phone holding your business number: WhatsApp → ⋮ menu → Linked devices → Link a device → scan the QR.
- Wait 10–30 seconds. The status flips to ✅ Connected.
Your number is now linked. Any message that arrives at it now flows through Botline.
Step 4 — Bulk import your stock
This is the big time-saver. Don't re-enter listings.
- Open /dashboard/vehicles/import.
- Click Download CSV template. Open it in Excel.
- Either copy-paste from your PakWheels Pro export, or fill it manually. Required columns: make, model, year. Recommended: mileage, price, color, transmission, fuel, registration_city, photos.
- Save the file and drag it into the upload zone.
- Botline parses, validates each row, and previews the first 5 entries.
- Click Import N vehicles. Up to 500 at a time.
Tip: photos go in photo_url_1 through photo_url_10 columns. Use direct image URLs (your PakWheels listing photos work, or upload to Imgur / Cloudinary first if you have local files).
Alternative for individual listings: paste a PakWheels, OLX, or Dubizzle URL into the URL importer — Botline fetches the page server-side and extracts make / model / year / price / photos. You review and save.
Step 5 — Test before customers do
Send "Hi" to your connected WhatsApp number from another phone (use a colleague's, or a personal SIM).
Test these specific scenarios:
- Greeting. Menu fires? "Browse stock", "Trade in my car", "Schedule inspection", etc?
- Browse. Type "1" or "browse stock". Does it list your imported vehicles?
- Specific question. "Toyota Corolla 2018 ka mileage?" Does it pull from the listing?
- Negotiation. "Last price?" Does it quote listed price + offer to escalate, NOT silently drop the price?
- Trade-in. "Mein apni Mehran 2017 trade karna chahta hoon, 80k km, decent condition." Does it ask the right follow-up questions and tell you 24h response?
- Financing. "Bank loan milegi?" Does it share your loan officer contact (if you set one)?
If anything's off, fix it via the wizard or KB and re-test. Don't go live with a half-tested AI.
Step 6 — Go Live
- Back in /dashboard/onboarding, you should see the green Step 3 — Ready to go live.
- The pre-flight check runs automatically. It flags red blockers (WhatsApp disconnected, dummy data in menu, weak AI prompt, fewer than 5 KB documents). Clear the red ones first.
- Click 🚀 Go Live. Confirm in the modal. Done.
Your AI is now answering customers. Watch the first hour of conversations at /dashboard/conversations — review what the AI sent, intervene with Take over if anything's off, and update your KB at the end of the day for any pattern the AI got wrong.
Step 7 — Share your public dealer page
Your catalog is live at your-slug.botline.cc/cars. Customers can:
- Filter by make, year, transmission, fuel, price.
- See multi-photo carousels per car.
- Click Inquire on WhatsApp — opens your WhatsApp number with the listing reference auto-pasted.
Add the URL to:
- Your OLX / PakWheels listing descriptions (drives multi-platform inquiries to one place).
- Your Facebook / Instagram bio.
- WhatsApp Status (post once a week with new arrivals).
- Business cards / showroom signage.
Day 1, day 7, day 30 — what to expect
Day 1. Most dealers we onboard see ~50 messages on day one (their existing leads testing). The AI handles 80%+ correctly. Expect to Take over 5–10 conversations the first day — that's normal.
Day 7. The AI has settled. The KB has 3–5 manual additions you made based on what you saw. Take-over rate drops to under 5%.
Day 30. You're running broadcasts (new-arrival announcements, price-drop alerts). Lead-quality scoring is filtering tire-kickers from serious buyers. You're spending 60% less time on WhatsApp than before, but closing more deals because you only see the buyers who matter.
Common gotchas
- WhatsApp disconnected. Phone running out of battery, or the WhatsApp app force-closed. Just rescan the QR at /dashboard/whatsapp and you're back.
- Wrong photos in CSV. Make sure the photo URLs are direct image URLs (ending in .jpg/.png) — not landing pages. PakWheels image URLs work directly. OLX may need extraction.
- AI quoted a price you don't have. Always check the listing first — the AI never invents prices. If you see this, the listing was uploaded with the wrong price column. Fix it in /dashboard/inventory.
- Customer mentions a price from PakWheels that's lower. The AI is trained to defend with transparency: "Different listings have different mileage / papers status — happy to inspect side-by-side." If yours is genuinely overpriced, edit the listing.
